The Third Party is one of three categories within the Surface module allowing you to manage all your Third Party agreements in one location.

The Third Party category handles simple to complex Third Party agreements such as Encroachment, Road Use, Proximity, Facility Crossing, Railway Crossing, Geophysical Pipeline Crossing, Ground Disturbance and Approach Consent(s), Abutments, and Parallel(s).

Invoices can be generated for Third Party agreements such as Road Use.

Maintenance of Third Party Agreements:

Third Party Tabs

Agreement data is maintained in the Third Party tabs. 

Road Use: Maint and User Well Tabs

For Road Use type of agreements/addendums, additional data is required to generate invoices:

  • In the Maint tab enter applicable TPA Status, rate and frequency

  • The User Well tab is where Road Use Initial Consideration/One Time Fees and Maintenance fees are maintained.  The Third Party Update Utility can be used to access public data to automate changes on the User Well tab.

Mass Change: Maint Tab

Qbyte Exchange

There may be situations where  Qbyte Exchange for Third Party Agreements could help to bulk load new agreements into Qbyte CS Land or help with data cleanup.

Road Use Invoicing

Third Party Update Utility

Prior to running a road use Third Party Invoices process, If you have a connection to the IHS or gDC data hub, the Third Party Update Utility can be used to access public data to automate changes to TPA Statuses on the User Well tab and if desired, add Billing  Dates to One-time Fees.  Using the Third Party Update Utility is optional but will decrease the manual effort required to maintain correct TPA statuses and also decrease the time spent investigating/correcting invoice disputes.

Third Party Invoices

Third Party Invoices can be generated for Road Use agreement maintenance fees either in advance or arrears.  More than 1 invoice process can be run in any given month to allow for generating one time or Initial consideration invoices as required.  If configured, Invoice transactions can be created and interfaced into Qbyte Financial.

Getting Started and Configuration

If you are just starting to use the Third Party invoicing or update utility processes, one-time getting started configuration is required.  We highly recommend that you contact the Qbyte CS Land support desk to assist you with this setup. 

Reporting on Third Party Data 

  • Qbyte Optix reporting can be used to search and report on the Third Party data entered via Qbyte CS Land.  Qbyte Optix offers numerous filter options for Third Party data attributes on Summary, Details and Data Extract reports.

  • Road Use Master Agreements and Addendums can be generated by using Third Party Agreement documentation generation. Available by first extracting the data using Qbyte Optix Data Extracts (see how to: Master Agreements / Addendums)  and then following a standard mail merge process.
