Processes

The Accounting Rental Download function is for Qbyte Financial Rental Interface users only. It allows users to download selected rental runs into the Qbyte Financial interface tables, and from there upload into Qbyte FM.

Accounting must handle one process at a time.  Only when the data is uploaded into the financial system from the interface tables should the next rental process download take place.  This is because the data in the temporary tables used in the download/upload process are overwritten with each new process.  Access to this process can be limited (if desired) to the Accountant who handles rental transactions.

1. From the menu bar, select User Processes > Accounting Rental Download > Mineral (or Surface) Rental Download. The Select for Download window opens up.  (Use scroll at bottom to see entire window, as shown.)  The Select for Download window displays a history of Rental Processes for which the Rental Interface step has been run.  The runs are listed by the select date (rental month) in descending order.

2.  Select the appropriate Rental Process and select Download.

• If the file has not already been downloaded, a confirmation message will ask if you want to continue.  Select Yes to continue.  The interface tables will be created and the window disappears indicating the step is completed.  

• If you close the Table Download window, come back in, highlight your run and scroll over to the right you will see that the Download By and Download Date fields are updated.

• If the rental process selected has already been downloaded, a warning will be given and you can select Yes or No, as desired. 

3.  Notify accounting that the rental process transactions should now be processed/downloaded into Qbyte Financial.
