Introduction

The Qbyte Optix Budget Expiry Calendar for Mineral Leases is designed for longer-term budgeting and planning purposes. The Budget Expiry Calendar allows your organization to effectively review expiring leases at a higher level than simply the Mineral Sub, since this report groups the information by Location (Section, Township, Range and Meridian).  Recommendations for each Location can be recorded and tracked right within the report.

Note: This report is available for DLS locations only.

The Mineral Lease Sub Data Extract can be used to Extract Legal Data in the Accumap format if you wish to map this expiry data.  



Features of this Report:

  • The Land Picture column groups and displays the leases that fall within the same Location on the same row of the report. A drill down to the Mineral Lease Sub Details Report is available by clicking the link icon for the applicable records. Color formatting gives you a quick at-a-glance view of the leases as they relate to the year the report was generated for:

    • Purple font represents leases expiring within the specified Reporting Period Year.

    • Green font represents leases expiring in the future, past the specified Reporting Period Year.

    • Red font represents not leased lands percentage in the specific Location.

Additionally:

  • Leases that are Held by Production will always show (HBP) at the end of the Lease Detail string.

  • Specific Mineral Lease Type Codes can be set to display at the end of the Lease Detail string. See Budget Expiry Calendar Report Setup .

  • Recommendations can be entered directly into the report and are saved for future reference. Users that have access (either Update or Info access) to the Qbyte CS Land application will have the ability to enter into the four Recommendation columns on the report. If three different users enter recommendations, all three recommendations will be visible on the report.  

Note: Budget Recommendations are stored by Expiry Date, Location and the Multi Section Indicator; therefore, you will only see the Budget Recommendations applicable for the Expiry Year you generated the report for.

  • Type - Used to indicate what the action should be, for example: Expire or Drill. This drop-down List of Values is client-defined, see Budget Expiry Calendar Report Setup.

  • # of Locations - Can be optionally used to indicate how many wells need to be drilled in this section to retain/hold the expiring lands within the selected Expiry Year. This drop-down List of Values is client-defined, see Budget Expiry Calendar Report Setup .

  • Remark - A free-format field.

  • Additional Information - A free-format field.

Note: When Recommendation data is entered and when you leave the row, the data entered is automatically saved.  All recommendations data entered on the report will be saved into the Qbyte CS Land database.  The data is not visible in the Qbyte CS Land application.

  • Other columns on the report include:

    • Location – Section, township, range and meridian

    • Sort location – Meridian, range, township and section.  The report is ordered by sort location.

    • Hard Expiry Date – Is the Expiry Date of the leases in the selected reporting period.

    • Multi Section - This indicator is system-generated.

    • Gross Area - The report will calculate this value based on the lease(s) contained within the location (sum of the gross area within the land picture).

    • Net Area - The report will calculate this value based on the lease(s) contained within the location.

    • Expiring Net Area - The report will calculate this value based on the expiring (purple) lease(s) contained within the location.

    • Average Interest - The report will calculate this value based on the lease(s) contained within the location (net/grossX100).

Note: Specific Mineral Lease Type codes can be set to be Excluded from the Acreage Calculations and will not contribute to the Acreage columns in the report, see Budget Expiry Calendar Report Setup. 



Sample Steps to Run

1. Ensure the required Budget Expiry Calendar setup has been completed in both Qbyte CS Land and in Qbyte Optix.

2. Select the Optix Reports tab > Leases > Mineral Leases > Budget Expiry Calendar

3. Select Report Options > Data Selection > Measurement System > Metric (or Imperial) for acreage information display.

4. Select Reporting Periods > Reporting Period Selection Method = Enter Reporting Expiry Period Criteria.

5. Click the Expiry Period year representation that you wish to generate the report for. The corresponding months will change to green shading.

6. Select Mineral Lease Subs > Mineral Lease Sub Selection Method = Enter Mineral Lease Sub Criteria.

  • Enter the filters like Project that you wish to use to narrow down the report data to what you require.

7. View the report.

8. Enter any required Recommendations information.

9. Save Report Criteria into your Favorites Folder so that you can easily rerun in the future by simply changing the Reporting Period.

Note: Remember to flag it as shared if you would like others to see/run this report.

10. Print to PDF to print the report.
