Introduction
The Qbyte Optix Mineral Lease Expiry Calendar report allows your organization to effectively review expiring leases at the Mineral Lease Sub level. In addition, recommendations for each Mineral Lease Sub can be recorded and tracked right within the report.
Active Leases are included on the report considering the following:
Looks to the primary Lease Term date on the base and then to the Extension Date on the sub to see if a lease has been extended beyond its primary term.
If the lease has an Extension Code of HBP (Held By Production) OR Section 15, it will not be included.
Features of this Report
Use the drill-downs to get further details. For example: Click once on a Lease File Number/Sub and it will open the Mineral Lease Sub Details report. To get back to the Mineral Lease Expiry Calendar report, simply click the Mineral Lease Expiry Calendar breadcrumb underlined in blue in the top-left corner.
The report includes Active files only and is sorted by Expiry Date, Mineral Lease Sub, ascending.
The first eight columns of the report are Mineral Lease Sub attributes: Expiry Date, Extension Type, Extension Date, Mineral Lease Sub, Mineral Lease Type, Lease Number, Total Rental Amount, Mineral interest Percent
The next three columns are to enter the Recommendations and are saved for future reference.
Note: Users that have access (either Update or Info access) to the Qbyte CS Land application will have the ability to enter into the Recommendation columns on the report, otherwise these columns will be read-only.Type - Used to indicate what the action should be, for example: Expire or Planned. This drop-down list of values is client-defined, see Mineral Lease Expiry Calendar Setup .
Role - The user who is entering their recommendation will select their role for making the recommendation. For example: Geologist or Land Manager. This drop-down List of Values is client-defined, see Mineral Lease Expiry Calendar Setup .
Remark - A free-format field.
Note: When Recommendation data is entered, all three data entry columns must be populated, and when you leave the row, the data entered is automatically saved. All Recommendation data entered on the report will be saved into the Qbyte CS Land database. The data is not visible in the Qbyte CS Land application.
The last three columns of the report are:
Previous Recommendation - A display-only column, if the Previous Recommendations report option is set to Include Previous Recommendations.
Gross Area - Represented in either Acres or Hectares depending on the value of the Measurement System report option.
Net Area - Represented in either Acres or Hectares depending on the value of the Measurement System report option.
Sample Steps to Run
Mineral Lease Expiry Calendar for only those lands within the P2 Dispositions Project where Mineral leases are expiring in the third quarter (July, August, September) of 2020. Acreage is to be reported in Metric and Previous Recommendations are to be included.
1. Ensure the required Mineral Lease Expiry Calendar Setup has been completed in Qbyte CS Land.
2. Select the Optix Reports tab > Leases > Mineral Leases > Mineral Lease Expiry Calendar.
3. Select Report Options > Data Selection > Measurement System = Metric (or Imperial) for acreage information display.
4. Select Report Options > Data Selection > Previous Recommendations = Include Previous Recommendations . The Previous Recommendations display in a separate column on the report output.
5. Select Reporting Periods > Reporting Period Selection Method = Enter Reporting Period Criteria. The Expiry Period criteria can be one month or many months, or one year or many years; as long as the expiry periods selected are contiguous.
6. Select Mineral Lease Subs > Mineral Lease Sub Selection Method = Enter Mineral Lease Sub Criteria. Enter the filters such as Project that you wish to use to narrow down the report data to what you require.
7. Click View Report.
8. Enter any required Recommendations information.
9. Save Report Criteria into your Favorites Folder so that you can easily re-run in the future by simply changing the Reporting Period. Remember to flag it as shared if you would like others to see/run this report.
10. Print to PDF.
