Overview

Obligations is a common tab that can be enabled in all Qbyte CS Land modules at the Base and/or Sub levels as required.  Use the Obligations tab to summarizes all tasks that must be completed to satisfy the document requirements. You can use the Obligations tab to track requirements associated with the document, or you can use this window simply to list items that you need to keep track of and that pertain to the document. If an obligation is date-sensitive, you can record the date by which the obligation must be met. You can also identify whether the obligation is your company’s, or an outside company’s responsibility to fulfill.

Occ

Upon initial Input/Insert the system automatically assigns an Occurrence (Occ) Number based on the chronological order in which the information was added.

Note: The Occurrence (Occ) Number can be re-numbered at any time (if required) to change the display order of the rows.

Obligation Type*



Date*

Indicate the date on which you want the obligation to appear in the Obligation report for the first time.

Frequency*

Values in the drop down list are:  One Time, Annual, Semi-Annual, Quarterly, Monthly, 2 Years, 3 Years, 4 Years, 5 Years, 10 Years, 20 Years, 21 Years or 25 Years.

Tip: Alternatively. if you have a one-time obligation, make the frequency annual and, as soon as the obligation has been met, set the Satisfied field to Yes.

Company*

Indicate whether the obligation must be satisfied by the document owner company or by an outside company, as follows:

  • Yes: The obligation must be satisfied by the document’s administration company.

  • No: The obligation must be satisfied by an outside company.

Satisfied*

Indicate whether the obligation has been satisfied.

  • No: The Obligation record is included in the Obligation reports.

  • Yes: The Obligation record is excluded from future Obligation reports.

Comp Date

Indicate the date by which the obligation must be satisfied. Optionally, if the obligation has been met, use this date to record the date on which the obligation was satisfied.

Party Resp*

Choose value from dropdown list setup in the Obligation Responsibility code table.  The From/To Mass Update user process can be used to change one obligation responsibility code to another on many files at one time.

Copying Obligation Information

Optionally, you can copy obligation information from another sub in the same document, or from a completely different document within the same module, to the one in which you are working by clicking Copy. The system displays the Select window.

  • From the Select window, select the document or sub from which you want to copy obligations. The system opens another window displaying the obligation(s) for your selection.

  • Highlight the specific obligation(s) you wish to copy or click Select All to highlight all the obligations at once, and then click Copy. The system asks you to verify that you want to copy the obligation(s) selected.

Reporting Obligations 

Options for reporting obligations includes the following:

  • Qbyte Optix Obligation Summary is available to report obligations together on one report or separately for the following modules: Contract, Mineral, Surface, Wells, Facilities, and Pipelines.

  • Obligations can be included on the Qbyte Optix Details (Abstract) reports and Qbyte Optix Data Extract reports for the applicable modules.  

The obligation information can also be exported to Excel from any of the Qbyte Optix Reports.
