Use the Related Document tabs to relate any document to an existing document in the database. By relating documents to one another in this way, you can quickly navigate from a document to all of its related documents.

If applicable, you can relate documents at either the Base or Sub level. Relate documents at the Base level if one entire document relates to another entire document. If only one particular sub or tract relates to a document, relate the document at the Sub or tract level.

Once established, you are able to edit the relationship between two related documents from either side.  For example, if you relate a Mineral Lease to a Contract document, you can edit that relationship through either the Related Mineral tab of the Contract document or the Related Contract tab of the Mineral Lease.

Related Files Navigator Bar

The navigation panel on the right hand side of the window displays all Related Files categories which have been enabled by the administrator. By selecting the Related File category on the Navigator bar, the associated fields and the stored related document will be displayed.

Tip: To launch to a Related File, highlight the particular file and select the Detail button at the bottom of the screen. This will open the particular file using the security rights available to the user (i.e. will open in Maintenance or Browse).

Related Wells: Mismatched UWI / Legal Descriptions

During the Save, a pop up warning message may be shown if any of the related Wells are outside of the location on the file they are related to. Unless the related Well(s) are removed from the related tab, the warning will be displayed each time something is updated or added to the window and saved. But it will not prevent the Related Wells from being saved.

Note: if there are too many wells listed on the warning popup, press ‘enter’ to exit the window. Consider running a Qbyte Optix report to identify the offending Wells.

Relating Wells and Mineral Lease Sub: Substance Allocation

When relating Mineral Lease Sub on a Well or when relating a Well on a Mineral Lease Sub, there is an additional section to enter the Substance Allocation.

Validation rules apply when entering Substance allocation:

  • Alloc Type: Choose All, Oil or Gas

    • System does not allow a combination of All and Oil or Gas.  You can however have a combination of Oil and Gas for dual producing wells.

    • You cannot enter the same allocation type in both of the Alloc Type fields.

    • If you select All as the first allocation type, the system will not allow you to enter anything in the second Alloc Type field.  If All is selected for one relationship, then every related file must also have the allocation type set to All.

  • Alloc Pcnt: Enter the percent between 0 and 100.  The percent cannot be blank.

Related Pipelines Configuration for Details Displayed

The Related Pipelines window can be configured to show License Number and Line Number by setting the System Table > PIPLICSING to ENABLED.

Note: ENABLED will also change the columns shown on the Select Pipelines window to include File Number, Licence Number, Line Number, From Location, From Facility, To Location, To Facility, Pipeline Length, Pipeline Size, Substance, Area, prov, Division. Where as DISABLED has columns show only for the Pipeline Base Fields.

Exceptions on the Related Tab

Related Service Agreements in the Well, Facilities and Pipelines modules is derived information only

The Related Service tab displays any Wells, Facilities or Pipelines that have been added to a Service Agreement as a Producer or Processor. There is no ability to add or relate a Service Agreement to a Well, Facility or Pipeline on the Related Service tab in those modules.

Related Wells side tab does not exist in Service Agreements or in Third Party

Related Pipelines side tab does not exist in Service Agreements

Related Facilities side tab does not exist in Service Agreements
