Introduction

You can allocate dollars and volumes that have been coded to a given AFE, cost centre and account to a different set of AFEs, cost centres and accounts using the Allocation Controls screen.

 

Setting Up Allocation Controls

1. Navigate to the menu and select Master Data > Allocation Controls.

Allocation From 

The Allocation From tab defines where costs will be allocated from. A deferred allocation can be entered manually, or via the Qbyte Exchange - Allocation Module.

Reference

The ID of the allocation. This field will be defaulted when saving the allocation.

Description

A description of the allocation.

Status

The status of the allocation. Valid values include:

Active

Deferred

Terminated 

Organization

The organization to allocate costs from. Enter the organization ID or select from the Organizations list of values.

AFE

The AFE to allocate costs from. Enter the AFE or select from the AFEs list of values.

Cost Centre

The cost centre to allocate costs from. Enter the cost centre or select from the Cost Centres list of values.

Account Group Code

The account group to allocate costs from. Enter the account group code or select from the Account Groups list of values.

The Account Group Codes are set up in the Allocation Account Groups screen

Reversal Account

The account to reverse costs from. You can enter a Major Account only, a Minor Account only or both a Major Account and Minor Account value.

Note: If left blank, the costs will be reversed out of the original account.

Allocation Method

The method of the allocation. Valid values include:

A Actual – Allocation percent determined by the user.

P Production – Allocation percent determined by the production volumes. The Production Volumes table must be populated monthly.

W Well Count – Allocation percent determined by the well count.

Product

The product of the allocation. Enter the product code or select from the Products List of Values.

Note: This field is required if the allocation method is set to P (Production).

Effective Date

The effective date of the allocation. Costs with an activity date greater than or equal to the date entered will be selected during the allocation process.

Expiry Date

The expiry date of the allocation. Costs with an activity date less than or equal to the date entered will be selected during the allocation process.

Terminated

Indicates whether the allocation is terminated. Terminated allocations will not be selected during the allocation process.

Terminated On

If the allocation is terminated, the date the allocation was terminated.

This field cannot be modified.

By 

If the allocation is terminated the user who terminated the allocation.

This field cannot be modified. 

Select Ctrl + S or the Save icon to save the allocation from information.

To add backup documentation to the allocation, select the Attachments button. This button will be bolded and numbered when there is a stored attachment.

Allocation To 

The Allocation To tab defines where costs will be allocated to. Information in this tab can be entered manually, or via the Qbyte Exchange - Allocation Module.

AFE

The AFE to allocate costs to. Enter the AFE number or select from the AFEs list of values.

CC

The cost centre to allocate costs to. Enter the cost centre number or select from the Cost Centres list of values.

Org ID

The organization to allocate costs to. Enter the organization ID or select from the Organizations list of values.

GL Sub Code

The GL Sub Code to use when allocating costs. Enter the GL sub code or select from the GL Sub Code List of Values.

Account

The account to allocate costs to. Enter the major/minor account or select from the Accounts list of values.

If left blank, the costs will be allocated to the original account.

Allocation Basis

The basis of the allocation.

This field is required if the allocation method is set to P (Production) or W (Well).

If the allocation method is set to P, this value will be populated from the Allocation Production Volumes screen.

If the allocation method is set to W, enter the well count.

Percent

The percent of costs to allocate.

This field is required if the allocation method is set to A (Actuals).

DOI ID

The DOI to use when allocating costs. Enter the DOI ID or select from the Ownership Agreements list of values.

Continuity Code

The continuity code to use when allocating costs. Enter the continuity code or select from the Continuity Code list of values.

Select Ctrl + S or the Save icon to save the allocation to information.

A warning message is received before the allocation is saved:

Duplicating Allocation controls

Allocation controls can be duplicated allowing a standardized set of controls each month and an update to the actual allocation percent. To duplicate an allocation control:

  1. Query up an existing allocation control.

2. Ensure your cursor is in the Allocation From block, and then use image-20240530-140623.png to duplicate the record.

  1. The following message will appear. Select OK to continue with the duplication.

  1. When the new allocation is displayed, enter the new effective date for the duplicated allocation.

  1. An error will be displayed if the effective date is the same as the original allocation

  2. Navigate to the Allocation To tab

  1. Use the

     button to recalculate the percentage.

Percentage should always equal 100.0000000000

  1. Save the allocation control using the 

    icon.  Once saved, you cannot make changes.

Using the Search Panel

When opening the Allocation Controls screen, a Search panel is available that is preset to Filter: Status - Active.  The Status filter can be changed to Deferred or Terminated or can be removed.

Searching Allocation Controls

To search for an allocation control using the search box, results will search against the "from" or "to" cost centre name or number.  As the search is entered, search results will be dynamically updated with the records that contain the search criteria. For example, if entering "Garrington" in the search box, all cost centres that contain "Garrington" will be returned.

Filtering Allocation Controls

Below the field to search the "from" or "to" cost centre name or number, filters can be added via the Add a filter button. When users select Add a filter, a drop-down list of available filters will appear. The filters available are the following fields that will search Allocation From and Allocation To fields:

  • Status

  • From / To AFE Number / Name

  • Control Name

  • From Organization

  • To Organization

  • Account Group

  • Allocation Method

  • Effective Date

  • Expiry Date

Launching Allocation Details Report in Qbyte Optix

Users can launch an Allocation Details report in Qbyte Optix by clicking the Qbyte Optix icon in the toolbar.

This will launch the Allocation Details report in a new Qbyte Optix window.
