Introduction

User-Defined Field (UDF) Type contains the description that will populate the User Defined Codes description and field requirements for the Master Data UDF fields on Business Associates, Cost Centres, AFEs and the Chart of Accounts.

User Defined Code Controls

1. To access the User Defined Field (UDF) type controls navigate to the menu and select Administration User Defined Code Controls

  1. For each UDF code type row begin filling the columns that apply for your business.

Data Type

Add in the data type of choose from the drop-down list of values:

VARCHAR2 - can be any combination of characters

DATE - must be in date format YY/MM/DD

NUMBER - must be a number

Size

The number of characters allowed in the field

Mandatory

When set to Yes will make input into this field mandatory.

Caution is advised when making this field mandatory as it is attached to all data for the particular code.

Validate

When set to Yes, the data is validated against the predetermined UDF codes type. Validation data found in the User-Defined Fields (UDF) Codes.

Accrual

When set to Yes, this will be used for all UDF fields in the capital accrual process.

Not relevant for the chart of accounts.

Prompt Text

The data that will be visible on the UDF fields in master data screens [Business Associates, Cost Centres, AFEs, Chart of Accounts]

Description

This field allows expansion on the description from the prompt text.

This will be visible on the User Defined Codes screen and the Qbyte Optix data extract reports.

  1. Select Ctrl+S or the Save icon. 

  2. When the Validate column is check marked, the User Defined Fields (UDF) codes need to contain a list of data to validate against.
