System Defaults and Controls

System defaults allow companies to control how data is entered into the system and how the system uses this data. They also allow companies to set defaults for processing.

Viewing these System Defaults and Controls can assist with troubleshooting issues that occur in other parts of the system.

 

 

1. Navigate to the menu and select Administration System Defaults and Controls

2. The majority of Sub-Systems components are maintained under:

  • ID 1 Qbyte – Core

  • ID 2 Qbyte FM

Select one of these rows and then select the Sub-Sys Comp tab

3. In the Sub-Sys Comp tab, select the Component and then Select the Default Values tab.

4. Scroll through the Default Values tab to locate the value you wish to view or change.

5. To search for a system default:

  • Press F8 or select the query icon on the screen.

  • Enter the Sub-System Default name and press F9 or select the Execute query icon on the screen.

    • Wild cards (%) can be very useful in helping you find the data you're looking for e.g. %ACTVY%

ACTS012_ACTVY_TO_ACCT_DIFF_MNTH

Allows you to determine the difference between activity and accounting month when entering vouchers.

  • Set to 0 and the activity month will automatically be set to the accounting month during data entry.

  • Set to 1 and the activity month will be one month prior to the accounting date. Null will force the user to enter in an activity period

AFE_APPROVAL_USER_X

Determines who is able to set an AFE to approved status. A company can have many approval users. To add a new user, F6 (create record) and type in AFE_APPROVAL_USER_X (X being the next number sequence) in the “Column/Field” column and then add their User Name in the “Value” column.

AP_INVC_DATE_HIGH_DAYS

Sets how far in advance you can date an invoice date.

AP_INVC_DATE_LOW_DAYS

Sets how far back you can date an invoice date.
