You are now able to inactivate facility charges in Metrix and test results without having to complete and book to financials in the current month. This is helpful during the implementation of facility charges, or as part of a special project to set up and/or clean up facility charges.

Facility Charge Maintenance

The Active flag is displayed on the Facility Charge Maintenance grid next to the Seq.# (Sequence Number). The Active flag has also been added below the Charge Type on the left side of the screen.

The Active flag can be used as a Charge Type drop-down to find active and inactive facility charges within the Schematic view below.

Facilities appear bolded when matching charges are found for the criteria entered.

The Active flag is visible to the right of the Seq.# (Sequence Number) when creating or editing a facility charge.

Add/Edit a Facility Charge

The Active flag defaults to Yes when a new facility charge is created. The status of the flag can be changed when creating or editing a charge.

The ability to activate or inactivate a facility charge is not controlled by any special security components. If you have access to edit a facility charge, you are able to activate (Yes) or Inactivate (No) a facility charge.

All screen validations will still be performed regardless of whether the facility charge is active or not.

Find Active/Inactive Facility Charges

The Active status has been added to the search area of the Facility Charge Schematic, and is blank by default.

Active: Blank – Facilities with any facility charge are bolded (that also match any charge type criteria).

Active: Yes – Facilities with only active facility charges will be bolded (that also match any charge type criteria).

Active: No – Facilities with only inactive facility charges will be bolded (that also match any charge type criteria).

Copy Facility Charges

Copy from Within a Facility Charge

The Active flag has been added to the Copy From screen (Edit Facility Charge > Copy From) to give you the ability to search for active and inactive facility charges to copy from.

Mass Copy Facility Charges

The Active flag has been added to the Source and Destination grids of the Facility Charge Copy screen (Facility Charges > Copy > Copy Facility Charges).

The Active flag is also displayed on the Source and Destination grids of the Print Friendly screen accessed from the screen above.

Step Processing

Inactive facility charges will still be calculated as part of Step 4, and will appear on various Optix facility charge calculation reports (indicating that they are inactive) so that you can review and test as needed.

If a previously booked (active) facility charge is made inactive in an amendment month, this charge will be reversed out on the financial voucher, but the inactive charge will not be re-booked.

If an inactive facility charge is made active in an amendment month, the newly activated facility charge will appear on the Financial Interface Voucher with no reversal (since the inactive charge would not have been originally booked).

If any errors occur during Step 4 on an inactive facility charge, they will be still be displayed as an Error in the Message Centre, but processing will continue.

Month End Processing

Inactive facility charges will be copied to the new month during the month end process, and will remain as inactive.

Facility Charge Maintenance Details

Inactive facility charges will now have an Active flag below the Sequence in the Facility Charge Maintenance Details report.

The Active status is displayed next to the Book at Unit Flag column when Exported to Excel without Template.

Facility Charge Calculation Summary

The Facility Charge Calculation Summary report now has a new Include Inactive Charges reporting option. This reporting option defaults to No.

If the selected criteria contains inactive facility charges, they will only be displayed in the report when the Include Inactive Charges reporting option is set to Yes.

The Active status is displayed next to the Sequence column when Exported to Excel without Template.

Facility Charge Calculation Details

Inactive facility charges will now have an Active flag next to the Sequence in the Facility Charge Calculation Details report.

Facility Charge Distribution Summary

The Facility Charge Distribution Summary report now has a new Include Inactive Charges reporting option. This reporting option defaults to No.

If the selected criteria contains inactive facility charges, they will only be displayed in the report when the Include Inactive Charges reporting option is set to Yes.

The Active status is displayed next to the Value column when Exported to Excel without Template.

Facility Charge Ownership Summary

Inactive facility charges will not be included on a Financial Voucher, whether Preliminary or Final, and subsequently will not appear in the Facility Charge Ownership Summary report.
