Introduction

Qbyte Financial assumes that the chart of accounts is defined corporately unless exceptions are defined for a particular organization. These exceptions are called chart of account customizations. You must define the corporate chart of accounts before customizing the accounts. Customization is performed at the organization level, but Qbyte Financial allows you to group your organizations into profile groups to customize more than one organization at once. You can, in turn, override these profile group customizations at the organization level.

Customized flag values override the values in the corporate chart of accounts. For example, if the corporate chart of accounts requires AFE’s for a particular account but this is not considered necessary for one or more organizations, you can override the AFE required flag by customizing the flag for those organizations.


Data entry screens recognize customized values first, before allowing the corporate values to control data entry. 
Before you customize your chart of accounts, you may be required to set up information in the following screens:

  • Chart of Accounts (ACTS011) - to set up the corporate Chart of Accounts.

  • Codes (ACTS017) - to establish profile groups, if necessary.

  • Organizations (ACTS035) - to set up organizations and assign profile group codes.

To customize your chart of accounts:

1. Navigate to the menu and select Configuration > Account > Chart of Accounts Customization:

Account

The major and minor account numbers you wish to customize.
Click the LOV icon to open the Account List of Values screen (ACTS067) and select major and minor account numbers.

Qbyte Financial automatically updates this information from the Chart of Accounts screen (ACTS011).

Active

Qbyte Financial automatically enters this information from the Chart of Accounts screen (ACTS011).

CC (Cost Centre)

No entry required.
Qbyte Financial automatically enters this information from the Chart of Accounts screen (ACTS011).

AR/AP

No entry required.
Qbyte Financial automatically enters this information from the Chart of Accounts screen (ACTS011).

Vol

No entry required.

G/L Sub

No entry required.
Qbyte Financial automatically enters this information from the Chart of Accounts screen (ACTS011).
A check mark in the check box indicates that a G/L sub code is required for transactions to this account.
This G/L sub code is used to provide more account detail and capture data across major and minor accounts. You can also use this number to drill down in minor accounts.
You can only use a G/L sub code for accounts that require a cost centre.
A blank check box indicates that you cannot enter a G/L sub code for transactions to this account during data entry.

Profile Group

The code representing the group of organizations you are customizing.
This field is set up in the Codes screen (ACTS017), and displays the organizations associated with this profile group. You can customize this account for each of the organizations at once.

Active

Click to place a check in the check box to indicate that this account is active.
Leave this check box blank to indicate that this account is inactive, and that the account is “turned off” for the organization. For instance, this field is used to “turn off” exploration accounts in an organization that does no exploration.

AFE

Yes to indicate that an AFE number is required for transactions to this account.
No to indicate that an AFE number is not allowed for transactions to this account.
Optional to indicate that an AFE number is allowed but not required for transactions to this account.
These settings override the account settings in the Chart of Accounts screen (ACTS011).

CC (Cost Centre)

Click to place a check mark in the check box to indicate that a cost centre entry is required in the data entry screens.
Leave this check box blank to indicate that a cost centre entry is not allowed for transactions to this account during data entry.
Typically, the Vol (Y/N) field, the CC (Y/N) field, and the activity Date (Y/N) should all be set to checked or blank.
These settings override the account settings in the Chart of Accounts screen(ACTS011).

AR/AP

AR to indicate that additional information is required during data entry. The additional information reports transactions to these accounts in the context of accounts receivable.
The data entry screen requires information such as the vendor or business associate and the associated invoice.
AP to indicate that additional information is required during data entry. The additional information reports transactions to these accounts in the context of accounts payable.
The data entry screen requires information such as business associate, invoice number, and invoice date.
These settings override the account settings in the Chart of Accounts screen (ACTS011).

Vol

Click to place a check mark in the check box to indicate that you must enter non-financial values for transactions to this account during data entry. These values include information such as product volumes, distance travelled, and fuel consumed.
Leave this check box blank to indicate that non-financial values are not allowed for transactions to this account during data entry.
These settings override the account settings in the Chart of Accounts screen (ACTS011).

Date

Click to place a check mark in the check box to capture an activity date, other than an accounting period, in which the transaction has occurred.
These dates can include revenue dates, or production dates. 
Leave this check box blank to indicate that activity dates other than accounting periods are not allowed for transactions to this account during data entry.
These settings override the account settings in the Chart of Accounts screen (ACTS011).

GL Sub 

Click to place a check mark in the check box, to indicate that a G/L sub code is required for transactions to this account. This G/L sub code is used to provide more account detail and capture data across major and minor accounts. As well, you can use this number to drill down in minor accounts.
You can only use a G/L sub code for accounts that require a cost centre.
A blank check box indicates that you cannot enter a G/L sub code for transactions to this account during data entry. These settings override the account settings in the Chart of Accounts screen (ACTS011).

Organization

The organization number, and the account parameters associated with this account within a given organization.

Active

Click to place a check mark in the check box to indicate that this account is active.
Leave this check box blank to indicate that this account is inactive, and that the account is “turned off” for the organization. For instance, this field is used to “turn off” exploration accounts in an organization that does no exploration.

AFE

Yes to indicate that an AFE number is required for transactions to this account.
No to indicate that an AFE number is not allowed for transactions to this account.
Optional to indicate that an AFE number is allowed but not required for transactions to this account.
These settings override the account settings in the Chart of Accounts screen (ACTS011).

Click to place a check mark in the check box to indicate that a cost centre entry is required in the data entry screens. By default, Qbyte Financial enters Y(es) for all gross accounts and subledgers that balance by cost centre automatically.
Leave this check box blank to indicate that a cost centre entry is not allowed for transactions to this account during data entry.
Typically, the Vol field, the CC field, and the activity Date fields should all be checked or blank for the account.
These settings override the account settings in the Chart of Accounts screen (ACTS011).

AR/AP

3. Select the Save Record icon to save the information.

4. Select the Exit (X) icon to close the screen.
