Introduction

IFS has designed a process to allow users a formalized means of approval to creating New Wells through the use of the IFS Workflow application. This process will guide users to fill out information, attach supporting documents, and Approve the information in a well to be inserted in one of the IFS Midcap products, such as IFS Excalibur or IFS BOLO. The end result of this process will be an automatically generated spreadsheet that can be uploaded via current EDI Upload functionality.

 

System Configuration

Export to Shared Drive Configuration 

To successfully export files to a network shared drive, the server that hosts IFS Workflows needs to be configured to the target shared drive. Below are the steps to mount a network shared drive to the Linux server.

 

Steps to create the shared drive:

1. Create a new group: sudo groupadd -g 6000 sharewindow

2. Add users to the group: sudo usermod -G sharewindow -a centos

3. Re-run line 2 and change centos to apache and then re-run for pmaker.

4. Create a new directory: sudo mkdir /mnt

5. Change owner of the new directory: sudo chown -R centos:sharewindow /mnt

6. Navigate to /mnt: cd /mnt

7. Create new dir: mkdir workflow

8. Change group owner on new folder: chgrp -R sharewindow /mnt/workflow

9. Change permission on workflow dir: chmod -R g+swrx /mnt/workflow

10. Modify the fstab: sudo vi /etc/fstab

11. Add this to fstab file:

//windowshare/sharefolder /mnt/workflow cifs username=##windowsuser##,password=##windowsuserpassword##,rw,users,uid=1000,gid=6000,forceuid,forcegid,file_mode=0777,dir_mode=0777

12. Save by pressing Esc then :wq and press Enter.

13. Mount drive. sudo mount -a

Upon successful creation of the mount drive to the target Network Shared Drive, the IFS Workflow system will be allowed to automatically export all the uploaded documents and generated Output documents.

The file directory can be customized by adjusting the trigger: Export to Shared Drive and adjusting the following code:

This then will start to build a repository on the target shared drive, with files being saved in the target server starting with P2NewWell.

Full Map of the MidCap

The MidCap New Well Request is designed to gather documents and information, as well as approvals, during a well’s creation in either Excalibur or BOLO. This process starts with the manual creation of a case and begins the process below.

The MidCap New Well Request begins with the user starting the case manually. The user is presented with a question in the Initial form asking if the well being created is a New Well or a Revenue Only Well.

  • If the well is Revenue Only, it takes the Revenue Only path above, bypassing much of the workflow functionality. 

  • If the well is designated as a New Well, the user will be directed to the Fill Out New Well Details task.  

    • The Fill Out New Well Details task has three steps/dynaforms, including New Well Details, JOA and Revenue Details, Lease and Distribution and General Information, Files, and Status. These Dynaforms will be highlighted further within this document.

After the user has completed all Dynaforms and is ready to move the case forward for approval, the next task is Approval Needed. This task is designed for users within the Land Supervisor group who will get a view only Dynaform that displays all the entered information by the Landman. The Approver is asked if the form is approved or not:

  • If the form is not approved, the case will get routed back to the Fill out New Well Details task to be resubmitted. 

  • If the form is approved, then several automated scripts will occur before officially closing the case.

The first automated script task will create a spreadsheet that will automatically be configured for upload into MidCap accounting products. This spreadsheet will be delivered via email to the Landman user that started the case.

The second automated script task will take all files attached and the created EDI spreadsheet and export them to a network shared drive that was configured in the Export to Shared Drive Configuration section in this document. Once both scripts have executed, the case will be closed.

 

User Groups

Landman: This group is for the users that have access to begin cases and Fill Out New Well Details.  

Land Supervisor: This group has access to both starting cases as well as the exclusive rights to approving cases in the Approval Needed task. Their approval decides the proper path forward by creating the EDI Spreadsheet or getting more information in the Fill Out New Well Details.

 

Tasks:

New Well or Revenue Only?

This task asks the user a single question of if the well that is being created is a New Well or is Revenue Only. This decision decides which path the case will travel.

 

Fill Out New Well Details

If the well is selected as the New Well in the previous task, then the Fill Out New Well Details is available to the user. This task has four steps/Dynaforms associated with it including:

  • New Well Details

  • JOA and Revenue Details

  • Lease and Distribution

  • General Information, Files, and Status

 

Approval Needed

Once all the details are filled out in Fill Out New Well Details, this task allows a member of the Land Supervisor to Approve or Not Approve the case. This approval decides the path forward of the case by either engaging the automated scripts and closing the case or sending the case back to the Fill Out New Well Details.

 

Dynaforms

Initial Form

The above Dynaform has only one radio button for the user to select.

  • New Well – Select this radio button if the well is a normal New Well to be created.

  • Revenue Only Well - Select this radio button if the well being created is Revenue Only.



New Well Details

 

Below are all the fields listed in the form. The fields in Red are used in the EDI Shield update.

 

Initial Information

  • Operated Type:

  • Request Type:

  • Landman Area: Area that the Well/Landman is operated in.

  • From Inception: Checkbox to indicate if the well is owned from inception as opposed to being bought.

  • Effective Date: Effective Date of the Well.

  • Landman: Landman working on the Well.

 

Well Information

  • Company: The Company the well is associated with.

  • Well Number: Well Number designated for the well.

  • Well Name: Well Name designated for the well.

  • Prospect ID/Name: The Name or ID of the Prospect of the well.

  • Operator: Company that Operates the well.

  • Primary Product: Oil/Gas as primary product.

  • API: Well API number is entered here.

  • County: County the well is located in.

  • State: State the well is located in.

  • Well Type: Type of well. 
    Note: Other options can be easily added by opening the Dynaform, selecting the field and adding other options.

  • Formation: Formation of the well.

  • Well Status: Current Status of the well.

  • Status Date: Date the status was designated.

  • Comments: Field to enter comments for this form.

 

Well Dates

  • Estimated Spud Date: Estimated Spud date of the well.

  • Estimated Completion Date: Estimated Completion date of the well.

  • Spud Date: Actual Spud date of the well.

  • Drilling Rig Date: Drilling Rig date of the well.

  • Rig Release Date: Rig Release date of the well.

  • Start Completion Date: Start Completion date of the well.

  • Completion Date: Actual Completion date of the well.

  • Oil – First Date of Production: First Date of Production for Oil.

  • Gas – First Date of Production: First date of Production for Gas.

  • Oil – First Sale Date: First date of sale of Oil.

  • Gas – First Sale Date: First date of sale for Gas.

  • Comments: Section for user comments regarding this section of the form.

 

Well Depths

  • Total Vertical Depth: Estimated Total Vertical depth of the well.

  • Total Measured Depth: Estimated Total Measured depth of the well.

  • Total Depth Date: Date the depths were entered/measured.

  • Actual Total Vertical Depth: Actual Total Vertical Depth.

  • Total Measured Depth: Actual Total Measured Depth.

  • Comments: Comments regarding well depths.

 

Land Information

  • Regulatory Field: Regulatory Field of the well.

  • Regulatory Allocated Acreage: Acreage of the Regulatory field allocated.

  • Surface Hole Location: Location of the Surface Hole.

  • First Take Point: Location of the First Take Point.

  • Last Take Point: Location of the Last Take Point.

  • Bottom Hole Location: Location Bottom Hole.

  • Comments: Area for the Land Information Comments.

 

JOA and Revenue Details

 

JOA Information

  • JOA Checkbox: Select this checkbox if the user wishes to put in JOA information.

  • JOA Grid: This grid will allow the user to insert multiple rows of the JOA Contract #, JOA Effective Date, Drilling OH Rate, and Producing OH Rate. Select the New Row on this grid to allow the user to insert as many as needed in this section.

 

Owner Interest

  • Owner Interest Grid: Use this grid to enter Owner Interest by selecting Owner Name, Working Interest, and Net Revenue Interest. New rows can be added by clicking the New button. Also, there is a Summation function that adds all the rows together as data is being entered.

  • Payout: Select the checkbox if the well is in Payout status.

  • After Payout Percentage: Enter in the % the well would have after being in Payout status.

  • Comments: Add any comments to display on this form.

 

Lease and Distribution

  • Lease Grid: Select this checkbox if the Lease Grid is to be populated.

  • Tract Description: This text area allows the user to enter in the Tract Description.

  • Lease Grid (actual)

    • This area allows for the entry of multiple leases by using the grid functionality. The user can enter the Lease ID, Gross Acres, Net Acres and Our Net Acres. Lease ID/Lessor is used in the EDI shield.

  • Lease Comments: Allows the user to enter any comments on the Lease information entered.

 

Revenue Distribution

  • Revenue Distribution Comments: Comments section for user comments of this section

  • Allocations: Area to enter Allocation, or this can be left blank.

 

General Information Files and Status

  • General Comments: Area designated for general comments pertaining to anything not discussed in the previous sections.

  • Upload Files: This allows the user to upload any supporting documents as an attachment to the case.

  • Ready for Approval? This field allows the user to save the form before submitting the case to the Approver.

    • If this is selected as Yes, then the user will select the approver in the Assignment screen. 

    • If No, then the case will save, and the user can reopen it from their Inbox.

 

Approval Form



This form exactly mimics the previous forms in the Fill Out Well Details task, but all the fields are view only, only allowing changes to the form by not approving and sending the case back to the Landman. Only two fields are enabled for the user to make updates, and they are listed below:

  • Is this Approved: Selecting Yes/No will drive the case to either executing the script tasks after the approval and closing the case. Selecting No will send the case back to the Landman for updates.

  • Comments: Put any Approval Comments here.
