Introduction

Once reports have been assigned to a Report Criteria Group, they can be scheduled to run for any time or frequency the user specifies.  The scheduling feature in Optix provides users with maximum flexibility to schedule their reports.

      Click on the Submit Archive Request button

OR:

  • Click on the Report Criteria Groups tab

  • Click on the group you wish to schedule

  • Click Submit Archive Request

The following screen will appear. Use the drop down boxes or fill in fields to set up scheduling.

Submission Type

 

Select to schedule type for the report group:

  •       Schedule the item to run tonight

  •       Schedule the item to run immediately

  •       Schedule the item to run at a specific date and time

Scheduled Report Name

Assign a name for the output – must be unique

Description

Populates from the Report Criteria Group. 

Report Criteria Group

Populates from the Report Criteria Group selected 

 

Output type

 

Select from the drop down either PDF or Excel for your output format.

Note: For PDF, you can merge reports or have separate files and include zip files

For Excel, you can have separate files, use the template or not and include zip files 

Output Results

 

Select from the drop down how you want your reports to be merged or separated:

  •       Merge all reports into one PDF

  •       Merge all reports into one zip file

  •       Create a PDF for each report

  •       Create a merged PDF and individual PDFs

  •       Create a zip file and individual PDFs

  •       Create a spreadsheet file for each report (if Output type = Excel)

  •       Create a zip file and individual spreadsheets (if Output type = Excel)

Share Report Ouput

Click the checkbox to share the output with other Optix users

Suspend

 

Click the checkbox to suspend scheduling (and not have to set up scheduling all over)

Unclick the checkbox to resume scheduling 

Run time

From the drop down, select the time of day to run the report group

Note: the report server gets re-booted at 5:00 am nightly (for ASP / Online clients) 

Frequency

Select the frequency to run the report group

  •       Schedule to run once

  •       Schedule for specific days of the week

  •       Schedule for a specific day of the month (includes the Last day of the month)

Once your options have been set up, click Submit to schedule the report criteria group. You will receive the following message. 

Navigate to the Scheduled Archive Requests tab to see running archives.

Viewing and Editing your Scheduled Reports

Once a report or report criteria group is scheduled, you can monitor the run status of the reports and you can also edit your Scheduling.

  • Click on the Scheduled Archive Requests tab

    • Your report or report criteria group will appear

  • Enter search criteria to find your report.

    • Click on Include Other Users’ Scheduled Reports if you are the Optix Administrator, to see all scheduled reports

    • Click on Refresh Results to update your screen.

OR:

From your Home tab,

  • Click on Manage Configurations

  • Click on Report Configurations

  • Click on Manage Scheduled Archive Requests



  • To edit a specific schedule, click on the Name

  • Edit Scheduled Archive Request to make changes to the schedule

  • View List of Reports to see the reports in the group

  • Resubmit Scheduled Archive Request to re-run the reports

  • Delete Scheduled Report to remove the scheduled report

If you select Edit Scheduled Archive Request, the scheduler will open and you can make changes:

      Click on the Archive Request Monitor tab to see the status of any scheduling jobs that are running.
