Introduction
The royalty owner mass update functionality allows you to change the ownership of freehold and overriding royalties for multiple production months. As part of the royalty owner mass update, system generated amendments for control groups will be created when royalty owners for past production dates are changed.
Processing Recommendations
It is recommended that the following steps be completed before beginning the Royalty Owner Mass Update process:
The royalty owner mass update process should be run after all month-end processing including the corporate roll have been performed and before the processing begins for the next production month.
It is strongly recommended that a backup of the production database be taken after the month end corporate roll is complete but before the royalty owner mass update process is initiated for any significant royalty owner updates.
If multiple royalty owner updates are required for a production month, it is strongly recommended that each royalty owner update should run to completion and be validated before starting another. Do not run multiple royalty owner updates concurrently.
If you plan on running the royalty owner update process for several royalty owners, ensure the from and to owners do not conflict. For example, if Owner 1 is changing to Owner 2, and Owner 2 is changing to Owner 3, the Owner 2 update process should be run before the Owner 1 process.
Royalty Owner Mass Update Screen
Royalty owner mass updates are created and maintained on the Royalty Owner Mass Update screen. This screen can be found under the Royalties → Freehold/Override/IOGC tab. From this screen you will be able to view existing royalty owner mass updates by either typing the name directly into the Royalty Owner Mass Update Name field, or by searching and selecting using the Advanced Search link. Authorized users will also be able to Create New owner updates.
Royalty Owner Mass Update Creation
To create a new Royalty Owner Mass Update select the Create New button the Royalty Owner Mass Update screen.
Field | Description |
---|---|
Name | This field is mandatory and must be unique between the Royalty Owner Mass Update Name and the Owner Update Name. |
Change Description | An optional field that is used to describe the royalty owner mass update. This field can be used to denote any additional information that you may find relevant. |
From Owner | The royalty owner to change from. |
To Owner | The royalty owner to change to. |
Month Type | Select from drop-down list. Valid values include:
Note: System generated amendments are created when the Month Type is All Dates or Date Range for all dates other than the current production date. |
Effective Date | This display-only field is defaulted to the current system production date when Month Type is Current Date. |
Start Date and End Date | These fields are defaulted to the current system production date and is only displayed when the Month Type is Date Range. |
All Properties | A mandatory field that is defaulted to Yes but is editable as required. If this field is left as Yes, all data containing the From (royalty) Owner will be processed. If this field is changed to No, a property list must be uploaded to indicate which properties to update. Note: The royalty owner mass update must be saved before a property list can be uploaded, or the royalty owner mass update can be submitted for processing. Selecting the Save button will return you to the Royalty Owner Mass Update View screen. Select the Edit button to return the Royalty Owner Mass Update screen. |

Royalty Owner Mass Update Submission
To begin processing Save the royalty owner mass update created above.
The Submit button will be displayed.
When the Submit button is selected, the Process Status of the Royalty Owner Mass Update will change to In Progress.
The Process Status will change to Complete when the submitted royalty owner mass update completes.
If errors were encountered while processing, the Process Status will change to Error.
The progress of the Royalty Owner Update process can be viewed in the Process Monitor.
Details for a Process Status of either Complete or Error can be found on the Owner Update Summary report in Metrix Reporting as described in the Owner Update Summary Report section of the Owner Update Process page.
Royalty Owner Mass Update Processing
Royalty owner data is maintained on a small number of tables within Metrix. All of these tables (except calculation tables) will be updated during the royalty owner mass update process. Appendix A contains a list of Qbyte Metrix tables that may be updated by the Royalty Owner Update process.
System generated amendments are created, or existing amendments are updated when the Month Type is All Dates or Date Range for all dates other than the current production date.
For TIK royalties, amendments are created at Step 1.
For non-TIK royalties, amendments are created at Step 6.
If an amendment already exists, is not scheduled, and the step number is higher that what it needs to be, the step number will be changed accordingly.
If an amendment is scheduled for a non-TIK royalty and is Open from Step 7, a message will be displayed in Owner Update Summary report and the Amendment Open from Step will be changed to Step 6.
If an amendment is scheduled for a TIK royalty and is Open from any step greater than Step 1, a message will be displayed in Owner Update Summary report and the Amendment Open from Step will be changed to Step 1.
The Owner Update Summary report in Metrix Reporting will provide an audit of the tables updated or errors encountered during royalty owner mass update process. This report will also provide detailed messages for any tables that are not updated during the process and may require your review and/or update.

Royalty Owner Mass Update Menu Security
The security component (Royalty OwnerMassUpdate) controls access to the Royalty Owner Mass Update screen. Only users with Full Access will be able to create new or edit royalty owner mass updates.

Appendix A - Summary of Tables Updated During Royalty Owner Mass Update Process
The Royalty Owner Mass Update process will not update Calculation, Reporting, or Temporary. The following three tables are the only tables that will be updated as part of the Royalty Owner Mass Update process.
