Introduction

The Obligation Summary lists all obligations that need to be addressed during the period for which you generate the report. It allows you to report all obligations for any module on one report, or only list the obligations for a specific module (entity). The exact same report will appear multiple times on the menu, once in each module to accommodate those users who typically work off the menu for one specific module. 

Obligations can be reported together or separately for the following modules: Contract, Mineral, Surface, Wells, Facilities, and Pipelines.

The Obligation Summary provides flexibility including offering many filter options like the ability to run for all/specific Obligation Responsible Party, to export the data to excel for further analysis and to easily email the report to specific recipients as required or at a regularly scheduled time.



Features of this Report

The Obligation Summary sorts the obligations by the Entity Sub Type (first column), then by Obligation Date and lastly by Entity (file number). If one Entity (file number) has multiple Obligations in different months, that Entity (file number) may appear in the report multiple times.

  • Use the  drill-downs  to get further details. For example: Click once on the Entity (file number) and it will open the respective Details report.

    • To get back to the Obligation Summary , simply click the Obligation Summary breadcrumb underlined in blue in the top-left corner.

  • Options to retrieve a summary report for All Obligation Responsible Party or specific Obligation Responsible Party.

  • Options to retrieve All (modules) Entity Types or Specific (modules) Entity Types.

  • Export to Excel offers even more flexibility for additional filtering. For example, if you are only looking for Contract Sub obligations. 

  • Automatically email Obligations to recipients as required using the Email To button after the Save Report Criteria or at regularly scheduled intervals as setup in the Submit Archive Request.

Report Parameters

Report Options > Data Selection > Obligation Responsible Party – This is where the list of Responsible Parties that have been used in Qbyte CS Land will be displayed. If you want to only see obligations for one Responsible Party, select that Party from the available drop-down list.



Reporting Periods – This is a mandatory report parameter that defaults both the from/to as today's date. Use the Calendar selector to change to the appropriate date range before viewing the report results.



Entities – If you do not want to see all obligations for all modules, use the Entities parameter to specify which modules (entities) you would like to see obligations for.  For example, if you only want to see obligations for Mineral or Mineral and Contracts, choose the Entity Selection Method = Enter Entity Criteria to see the available filter options:

  • Similar to all Qbyte Optix reports, optionally choose any of the available filters (Basic, Projects, Location) to limit the rows returned on the report.

  • Under Basic, clear (uncheck) the Include all Entity Types checkbox to get a drop-down list of available options.  

  • Select an option by clicking it, or multiples using CTRL + Click, Shift + Click.

  • Optionally choose Advanced for additional filter options. Multiple Advanced selections can be made by using Add New Row.

  • Admin Company – Select from the drop-down list an available Admin Company that has been used in Qbyte CS Land.

  • Entity Document Type – This will list all agreement types for Mineral, Surface, and Contract that have been set up in Qbyte CS Land. If you would like to choose more than one Entity Document Type, use the Add New Row button to add an additional row and choose Entity Document Type a subsequent time.

  • Entity ID – If specified, this will retrieve Obligations for the specified file number.  
    Note: the file number entered is not validated, so if no results are returned on the report, it could be a typo.

  • Entity Name – This can be used to filter for a specific Contract Name.

  • Entity Sub Type – This can be used to further filter the Entity Type selected above. For example, if you selected Entity Type = All Contract Entities but only want to see Service Contracts, then you would use this parameter to refine the filter.



Sample Steps to Run

Obligation Summary for All Active Contract Analyst (Contract) Obligation Responsible Parties between January 1, 2015, to December 31, 2020, for All Contract Entities and Mineral Lease Entities.

1. Select the Optix Reports tab > Contracts > Land Contracts > Obligation Summary.

2. Select Report Options > Data Selection > Responsible Party = Contract Analyst (Contract).

3. Select Reporting Periods > Reporting Period Selection Method = Enter Reporting Period Criteria > Click Obligation From Date = Jan 1, 2015, then click Obligation To Date = Dec 31, 2020.

4. Select Entities > Entity Selection Method = Enter Entity Criteria.

a. Clear (uncheck) the Include all Entity Types checkbox > Select All Contract Entities and Mineral Leases.

b. Select File/Sub Status = All Active.

5. Click View Report.

6. Save Report Criteria into your Favorites Folder so that you can easily re-run in the future.

a. Remember to flag it as shared if you would like others to see/run this report.

7. Email To the appropriate user.

8. Print to PDF to print the report.
