You can generate Surface abstracts for all or only a selected number of Surface documents. You can run Surface abstracts by document number, updated documents, or by area.

Alberta Energy Surface Files - Different Rental Amounts

he Alberta Energy Surface Files Rental Reconciliation Reports provide the results of various reconciliations of Alberta Energy Surface rental data against Qbyte CS Land Surface rental data. This particular report lists the Surface Lease files for which the Alberta Energy rental amounts do not match those in Qbyte CS Land.

  • By default, the system sorts the report by File Number.

Alberta Energy Mineral Files - Different Rental Dates

The Alberta Energy Surface Files Rental Reconciliation Reports provide the results of various reconciliations of Alberta Energy Surface rental data against Qbyte CS Land Surface rental data. This particular report lists the Surface Lease files for which the Alberta Energy rental dates do not match those in Qbyte CS Land.

  • By default, the system sorts the report by File Number.

Alberta Energy Mineral Files - Different Rental Payors

The Alberta Energy Surface Files Rental Reconciliation Reports provide the results of various reconciliations of Alberta Energy Surface rental data against Qbyte CS Land Surface rental data. This particular report lists the Surface Lease files for which the Alberta Energy rental payors do not match those in Qbyte CS Land.

  • By default, the system sorts the report by File Number.

Alberta Energy Surface Files - Exact Rental Match

The Alberta Energy Surface Files Rental Reconciliation Reports provide the results of various reconciliations of Alberta Energy Surface rental data against Qbyte CS Land Surface rental data. This particular report lists the Surface Lease files for which Alberta Energy and Qbyte CS Land have the same rental information for the month.

  • The "Cheque Owner" and "Rental Year" selection options are mandatory for all six Rental Reconciliation Reports.

  • By default, the system sorts the report by File Number. You can also sort by other available options. Use the report’s Filter Options to narrow down the report contents to specific files only.

Alberta Energy Surface Files - Missing Crown Files

The Alberta Energy Surface Files Rental Reconciliation Reports provide the results of various reconciliations of Alberta Energy Surface rental data against Qbyte CS Land Surface rental data. This particular report lists the Qbyte CS Land Surface Lease files for which Alberta Energy has no match.

  • By default, the system sorts the report by File Number.

Alberta Energy Surface Files - Missing from CS Land

The Alberta Energy Surface Files Rental Reconciliation Reports provide the results of various reconciliations of Alberta Energy Surface rental data against Qbyte CS Land Surface rental data. This particular report lists the Alberta Energy Surface Lease files for which there is no match in Qbyte CS Land.

  • By default, the system sorts the report by File Number.

Labels

You can generate labels for all or only a selected number of Surface documents. You can generate the Surface labels by document number, updated documents, or by area.

Tip: For best results, use 1 inch x 4 inch labels. Be sure to choose labels designed for the type of printer ink jet or laser you are using.

Third Party Invoice Detail Report (RP-0046)

The Third Party Invoice Detail report lists details of the Third Party Invoices generated during the report period that you specify. You can use the report to quickly view details of Third Party billings and invoices. Tip: Information appears on Third Party Agreement reports only after you run the TPA Invoicing process.

  • By default, the report sorts information by the Select Date. You can also sort by other available options. Use the report’s Filter Options to narrow down the report contents to specific files only.

Third Party Invoice Summary Report (RP-0045)

The Third Party Invoice Summary report provides a summary of the Third Party Invoices generated during the report period. You can use the report to view a quick summary of the Third Party Invoices.

Tip: Information appears Third Party Agreement reports only after you run the TPA Invoicing process.

  • By default, the report sorts information by the Select Date. You can also sort by other available options. Use the report's Filter Options to narrow down the report contents to specific files only.

Third Party Well Status Report 
(RP-0157)

The Third Party Well Status report allows you to identify wells with a specific TPA status.

Surface Acquisition Detail Report (RP-0048)

The Surface Acquisition Detail report lists the details of the land acquisitions made in the Surface module. By default, the report provides details of the acquisitions by Division, Province, and Area because this categorization of acquisition data is easiest to interpret.

  • By default, the system sorts the report by Division, Area, and Province. You can also sort by other available options. Use the report’s Filter Options to narrow down the report contents to specific files only.

Tip: The report coherency is lost when you view acquisition data by File Number. Sorting by File Number results in the fragmentation of the report contents and is not recommended.

Surface Acquisition Summary Report (RP-0049)

The Surface Acquisition Summary report summarizes the land acquisitions made in the Surface module. Sort and Filter Options By default, the system sorts the report according to the selected Print Options. If you do not choose any Print Options, the report does not sort the data because the report includes only a single total of all acquisition amounts. You can also sort by other available options. Use the report’s Filter Options to narrow down the report contents to specific files only.

Surface Expiry Report (RP-0016)

The Surface Lease Expiry report provides a listing of all surface documents that are coming to the end of their term and are due to expire within the specified time period. The system automatically displays the report in Print Preview mode.

  • By default, the system sorts the report by Expiry Date. You can also sort by other available options. Use the report’s Filter Options to narrow down the report contents to specific files only.

Surface Land Description Cross-reference Report (RP-0018)

The Surface Land Description Cross-reference report lists Surface documents by their land description.

  • By default, the system sorts this report by land description. No other Sort Options are available. Use the report's Filter Options to narrow down the report contents to specific files only.

Surface Lease Index Report 
(RP-0017)

The Surface Lease Index lists all Surface documents held in the system.

  • By default, the system sorts the report by File Number. You can also sort by other available options. Use the report’s Filter Options to narrow down the report contents to specific files only.

Surface Lessor Cross-reference Report (RP-0019)

The Surface Lessor Cross-reference report lists all Lessors and the documents in which they appear. The system uses the Surface document's Lease Number/Name fields to retrieve records for the report. If the Lease Number / Name fields are blank, the system uses the Lessor field to retrieve records for the report.

  • By default, the system sorts the report by Lessor Type, Lessor Name/Number, and then by File Number. You can also sort by other available options. Use the report’s Filter Options to narrow down the report contents to specific files only.

Tip: If you did not enter the Lessor Number field on the Surface Base document, the default sort is by File Number.

Surface Obligation Report 
(RP-0020)

The Surface Obligation report lists all Surface obligations that require attention during the period for which you generate the report. You can use the Print Options to have the system automatically email the parties responsible for fulfilling the obligations.

  • By default, the system sorts the report by Obligation Date. You can also sort by other available options. Use the report’s Filter Options to narrow down the report contents to specific files only.

Surface Property Report

The Surface Property report lists lease information for all Surface documents, or for a selection of specific Surface documents. The report includes a cover page that lists the Selection, Print, and Sort options for the report.

Tip: You cannot display the Surface Property Report online before you print the report.

Running the Property Report

When you submit the Surface Property report options the system displays the Print Property Report window. The Print Property Report window lists all leases that will be included in the report. You can use the Print Property Report window to refine the report selection list and enter Print Options for the report.

Print Options

Tip: If you do not specify a sort option, the system by default sorts the report by File Number. If you specify multiple categories, the report sorts by category. The top right-hand corner of the report displays an E, S, or R to indicate either Easement, Surface, or Third Party documents.

  • Sorts and Filters are not available for the Property Report, because you already specify filter and sort options when you indicate the report Selection and Print Options.

Surface Rental Calendar Report (RP-0021)

The Surface Rental Calendar report summarizes all rentals that are scheduled for payment during the report period. The report provides a summary of information that you need to make recommendations on whether or not to pay lease rentals on a Surface document. The system automatically displays the Surface Rental Calendar report in Print Preview mode.

Tip: Often, companies distribute this report to the persons and/or departments that have input on making lease rental payment recommendations.

  • By default, the system sorts the report by Rental Date. You can also sort by other available options. Use the report’s Filter Options to narrow down the report contents to specific files only.

Surface Rental Forecast Report (RP-0015)

The Surface Rental Forecast lists the gross and net rentals payable in a month. This report in instrumental in the budget creation process, and also helps to determine the cash balances required to meet net lease rental payment obligations throughout the year.

Note: The system looks to the Owner Company(s) and not to the Payor field to determine the net rental dollars.

Note: The report does not pick up files where the Primary Term Year is less than the Forecast Year i.e., if the expiry date on a file is September 9, 2007 and the file has been renewed so that the new extension date is September 9, 2010, when running the Surface Rental Forecast Report for 2010, the file will not appear in the report.

  • By default, the system sorts the report by Rental Month. Additional Sort Options are not available. The only available Filter Option is by Province.

Surface Rental Per Diem Report (RP-0301)

The Surface Lease Rental per Diem Report calculates the amount of rent owed due to a sale based on the Sales Effective Date.  Typically, this report is run from within a project which contains the list of specific agreements in the sale. 

The report parameters are:

  • Sales Effective Date – Enter the sales date of the disposition

  • Rentals Paid to Date - Enter the month and year of the last Rental Process that has been run in Qbyte CS Land

The Report displays the following information: 

  • File Number

  • Rental Status

  • Document Type

  • Lease Number

  • Rental Date:  The Rental Date field from the Surface Base tab

  • Total Rental:  The Total rental field from the Surface Base tab

  • Rental Interest:  The 'Rent DOI' from the W.I tab. Note: If 'Rent DOI' does not exist or 'JVB' is set to yes, this column will display 100%

  • Sales Eff. Date:  Report parameter input.

  • Rental Paid to Date: Calculated based on the Rental Date month and the input Rentals Paid to Date. If the Rental has been paid for the year specified, the calculated Rental Paid To Date year will be the following year.
    For Example:



  • Number of Days:  Calculated number of days between the Sales Effective Date and the calculated Rental Paid to Date +1 day

  • Per Diem Rental:  Calculated as Total Rental / 365 days x Number of Days x Rental Interest


  • By default, the system sorts the report by File Number.

Surface Rental Review Notices

The Surface Rental Review Notices report generates the Surface Rental Review Notices (SRRN) based on obligations added to Surface leases. This report has logic to update the specified obligation, either by moving the obligation date forward or by marking it as fulfilled.

Tip: The body of the SRR Notice can be customized using the Update Admin INI function from the Admin menu.

Update Options

Choose whether or not to update obligations (as specified in the Selection Options), as follows:

  • No Updates - the obligations remain in the system as they are. Report can be recreated with same parameters

  • Update 'Completed' - When the report is Run, the selected obligations appear on screen. At the same time, the obligations are marked as Satisfied = Yes and the Completion Date will be set to system date. A new obligation record for the next cycle is NOT created on the Surface document. If an attempt is made to recreate the report with the same parameters, it is unsuccessful because the obligations have been updated.

Note: This options is not recommended as it essentially removes the documents from all future rental review notice cycles.
Tip: This feature could be used outside of the Surface Rental Review Notice cycle for other types of obligations that you want set to "Completed".

  • Update 'Obligation Date' - When the report is Run, the selected obligations appear on screen. The Obligation Date for the selected obligations is moved ahead according to the Frequency setting that is specified on the obligation (see Obligation tab). The report cannot be recreated with the same date range parameters.

Surface Termination Detail Report (RP-0050)

The Surface Termination Detail report lists details of terminated Surface documents including Total Acres, File #s, Legal/Land Use, etc. By default, the report lists information by Division, Province, and Area. 

  • By default, the system sorts the report by Division, Province, and Area. You can also sort by other available options. Use the report’s Filter Options to narrow down the report contents to specific files only.

Surface Termination Summary Report (RP-0051)

The Surface Termination Summary report summarizes the acreage governed by terminated Surface documents.

  • Options By default, the system sorts the report according to the selected Print Options. If you do not choose any Print Options, the report does not sort the data because the report includes only a single total of all termination amounts. You can also sort by other available options. Use the report’s Filter Options to narrow down the report contents to specific files only.
